What we collect
This website does not require registration and sets no advertising or profiling cookies. Personal data reaches us only when you choose to write to one of the desks listed under Enquiries. In that case we hold what you send us: your name, your email address, any organisation you write on behalf of, and the contents of your message and any material attached to it. Where a matter proceeds, we may also collect information required for identity, anti-money-laundering and source-of-funds verification. That processing is described to the parties concerned at the time it is carried out.
Why we hold it and on what basis
Correspondence is processed on the basis of our legitimate interest in responding to enquiries, assessing submitted material, and conducting the business of the company. Where processing is required to take steps at your request before entering a contract, or to perform one, that is the basis relied on. Identity and source-of-funds checks are carried out to comply with legal obligations.
Unsolicited material
Material sent to us without a prior written request is received on the terms set out in our legal notices. Where we decline a submission, we retain only the minimum record necessary to evidence what was received and when it was declined.
Who we share it with
We do not sell personal data and we do not share it for marketing purposes. Data is disclosed only to our professional advisers, to service providers acting on our instructions, to other companies within the Synergy Media Corporation group where necessary for the matter in hand, and to regulators, auditors or law enforcement where we are required to do so.
Transfers outside the United Kingdom
Our business is international and some recipients may be outside the United Kingdom. Where personal data is transferred to a country without a UK adequacy determination, it is transferred under the International Data Transfer Agreement or equivalent approved safeguards.
How long we keep it
Correspondence and submissions are retained only for as long as is necessary for the purpose for which they were provided. Declined submissions are ordinarily deleted within twelve months. Records relating to financed pictures, and records we are required to keep for anti-money-laundering, tax or audit purposes, are retained for the periods prescribed by law.
Your rights
Under the UK General Data Protection Regulation and the Data Protection Act 2018 you may request access to the personal data we hold about you, ask us to correct it if it is inaccurate, ask us to erase it or restrict its use, object to processing carried out on the basis of legitimate interests, and request a copy in a portable format. Requests may be sent to info@synergypictures.co.uk and are answered within one month.
Complaints
If you are not satisfied with how we have handled your personal data you may complain to the Information Commissioner’s Office, Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF, or at ico.org.uk. We would ask that you raise the matter with us first.
